Every February, Mobile World Congress fills Fira Gran Via with tens of thousands of attendees, and most of them fly home with a bag of business cards and a calendar that was never really full. If you're an AI or tech company spending five figures on a trip to Barcelona, success means one thing: sitting across from people who can sign.
Start eight to ten weeks out. The decision-makers you want have their MWC calendars mostly booked by January. Build a target list of 30-50 named people, not companies. For each one, write down why a meeting is worth their 30 minutes: a problem you solve for their business unit, a peer customer or a pilot you can offer.
Don't rely on the official tools alone. MWC runs networking programs, but hosted networking is limited to certain pass levels, and meeting-hub reservations are only confirmed once the other person accepts. Those tools help with logistics, but they don't earn you anyone's attention.
Use warm paths first. In Spain, a relationship-driven market, an introduction from someone the buyer already trusts beats a cold email every time. Map second-degree connections, local partners, investors and former colleagues. One credible introduction can do more than dozens of cold messages.
Plan three meeting windows:
- The week before, in Madrid or Barcelona offices, when executives are less rushed.
- During the show, in short, well-located slots. Avoid crossing the whole venue between meetings.
- The week after, when the follow-up turns interest into a next step.
Define "qualified" before you start. Agree internally on the seniority, company type and outcome that count. A meeting with the right VP that leads to a scoped pilot is worth more than ten booth chats.
Follow up within 48 hours. Send a recap, a clear next step and one relevant resource. Most MWC pipeline is lost in the two weeks after the show.
If you want the calendar built for you, Tech Sales House runs a fixed-fee, 90-day Spain Door-Opener around MWC. It covers qualified meetings before, during and after the show, with the definition of "qualified" agreed in writing. Pilots start at €1,500.
